These Terms of Service outline the agreement between Zen by Zara Sena Ltd (“the therapist”, “we”, or “us”) and the client (“you”). By booking or attending a session, you agree to these terms.

1. Services Provided

Zen by Zara Sena offers integrative counselling and wellbeing services designed to support personal growth and emotional wellbeing. Counselling may involve exploring thoughts, feelings, and behaviours in a safe, confidential, and supportive environment.

Counselling is not a substitute for medical or psychiatric care. Clients are advised to consult their GP or another healthcare professional regarding any medical concerns.

2. Sessions

Sessions are 50 minutes or 80 minutes long and take place weekly or fortnightly, either in person or online.
The frequency and duration of sessions will be agreed between therapist and client.
Session fees will be clearly communicated and agreed upon before therapy begins.

3. Cancellations and Missed Sessions

  • A minimum of 48 hours’ notice is required to cancel or reschedule a session.

  • Cancellations made with less than 48 hours’ notice may be charged a cancellation fee.

  • Missed sessions without notice are charged in full.

  • Exceptions for genuine emergencies may be made at the therapist’s discretion.

  • If you arrive late, the session will still end at the scheduled time. The therapist will wait up to 20 minutes for late arrivals.

  1. Confidentiality

All information shared in sessions is treated as strictly confidential.
Confidentiality may only be broken if:

  • There is a serious and immediate risk of harm to you or another person

  • There is a legal obligation to disclose information

  • A court order requires disclosure

Where possible, you will be informed before any disclosure is made.
Records are stored securely and never shared for marketing or research purposes.

The therapist receives regular professional supervision in accordance with BACP ethical standards. Client identities are not disclosed in supervision.

 

5. Communication and Online Sessions

  • Sessions may be held in person or online via a secure platform.

  • If the therapist’s connection fails, the session will be rescheduled at no extra cost.

  • Clients are responsible for ensuring a private and safe space for online sessions.

  • For confidentiality and data protection reasons, clients should avoid sharing sensitive or personal information by email or text message and are encouraged to discuss such matters within counselling sessions instead.

6. Professional Conduct

The therapist conducts all sessions in line with the BACP Ethical Framework.

  • Therapy cannot proceed if a client attends under the influence of drugs or alcohol.

  • If the therapist and client meet in public, the therapist will not initiate contact to protect confidentiality.

7. Emergencies and Referrals

Zen by Zara Sena does not provide an emergency or crisis service.
In an emergency, please contact your GP, 111, 999, or reach the Samaritans on 116 123 (freephone).

Where appropriate, the therapist may recommend referral to another professional or service for additional support.

 

8. Data Protection (GDPR)

Zen by Zara Sena Ltd complies with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

You have the right to:

  • Access your personal data

  • Request correction of inaccurate details

  • Request deletion of your records (where legally permitted)

Therapy records are retained for five years after therapy ends (or until five years after the client turns 18, for under-18s).
All records are stored securely and handled in line with professional and insurance requirements.

9. Ending Therapy

Therapy typically concludes by mutual agreement when you feel ready.
Planned endings are encouraged to ensure appropriate closure and reflection.

If you have a concern about the service, please raise it directly with the therapist for resolution.
If unresolved, you may contact the British Association for Counselling and Psychotherapy (BACP) or the Information Commissioner’s Office (ICO):

11. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the English courts.
